  1. Spring Cheltenham is available to artists, craftspeople and creative businesses looking to commercialise their own work/products.

  2. Whilst we want to be an eclectic and inclusive venue, we also want exhibits which reaffirm the perception of Spring as an exciting space. We therefore ask people to register their work beforehand for review. To do this please follow the instructions on our website.

  3. The standard hire period is for one week, but you may also book for longer periods when available.

  4. Bookings during busier periods like the Jazz and Literature Festivals will be subject to a special application and charged at a higher rate.

  5. Hiring charges start at £400 for a standard week (Tuesday to Monday). We reserve the right to modify these rentals but once booked we will honour the hire fee at time of booking.

    January/February/March: £400
    Rest of the year: £500
    Festivals and other premium weeks: £650

  6. DEPOSIT. A 50% deposit is payable as part of the booking process. This is non-returnable if you subsequently cancel unless we are able to re-let the booking. If we are able to re-let, the deposit will be refunded less an administration charge of £50.00.

  7. CONFIRMATION OF BOOKING. You will receive this on making your booking.

  8. The final balance needs to be paid 8 weeks prior to your booking. You will receive a statement of your account at that time with request for payment.

  9. HANGING/DISMANTLING. The hirer is responsible for all hanging and dismantling as well as taking responsibility in the event of missing or damaged equipment.

  10. STEWARDING. The hirer is responsible for organising their own stewards. The space must not be left open and unattended at any time during the opening hours. Stewards and hirers must check that all doors are locked, and lights are off at the end of the day.

  11. OPENING HOURS. The obligatory core hours are 10am to 5pm from Tuesday to Saturday , but you can also open on Sunday/Monday at your own discretion. On your opening day you are permitted to open later than 10am to have time to hang and display, and on your closing day you must have dismantled and left by 4pm. You may stay open until 9pm in the evening if notice is given beforehand (except Wednesdays)

  12. PARKING. There is no free parking with the space unfortunately, so you are responsible for finding and/or paying for your own parking. There is however a few loading bays on the street which can be used while loading or unloading your vehicle between 7-11am, and a parking map in the hirer information pack.

  13. WI-FI. You will be given the password on taking the keys.

  14. INSURANCE. The gallery holds public liability Insurance BUT you are responsible for insuring your own artwork/products being displayed and any other valuables you might have with you.

  15. FACILITIES. The toilet is shared with ‘Nu-clear’ downstairs so not available to the general public, only stewards/hirers. Also please be respectful that it is a shared facility and that there may be treatments going on, so be quiet when going downstairs to use it, and make sure you return the rope after using it.

  16. CLEANING AND DAMAGE. The gallery will be cleaned before you arrive but we would ask you to keep it clean and tidy during the hire period. The hirer will be responsible for the cost of any special cleaning required at the end of the period and for any loss or damage to the space, its furnishings and its equipment.

  17. HEALTH AND SAFETY. Please read the ‘Hirer’s Information Pack’ on arrival and take note of the Health and Safety advice and other information.

  18. MARKETING :If you wish to apply vinyl lettering advertising your event to the inside of the window, prior permission must be given.

  19. PUBLICITY. The Hirer is responsible for promoting their own exhibition/pop-up. However, Spring Cheltenham will make our best effort to assist through our own website and social media. To facilitate this, we ask that you provide marketing material when making your booking or up to 8 weeks priors to it.

  20. HEAT LOSS. If you wish to keep the doors and windows open that is fine, but if that is the case you must have the heating switched off, in the aim of saving energy.

  21. PHOTOGRAPHS. We reserve the right to photograph any work for the purpose of advertising and online posts, and these photographs remain the property of Spring Cheltenham.
